Daily hours are classified first. Double time, then daily overtime, are removed from regular time; the weekly threshold applies only to remaining regular minutes. A minute can belong to only one pay category. Overtime rules vary by location, industry, contract, and employee classification.

Time rounding and display

Clock-time rounding rounds clock-in and clock-out independently. Duration rounding rounds each shift’s scheduled duration after calculating its elapsed time. The entered times stay visible. Workplace rounding rules vary.

Overtime rules vary by country, state, industry, contract, and employee classification. Configure the calculator according to the rules that apply to you.

How to use the Time Card Calculator

  1. For each day, enter the clock-in and clock-out time for every shift.
  2. Enter the number of unpaid break minutes for each shift. Leave it blank if there was no unpaid break.
  3. Add shifts or copy a day’s schedule when needed. Fix any errors shown beside a shift.
  4. Open pay and advanced settings to add an hourly rate, choose overtime rules, or apply time rounding.
  5. Read the weekly total and daily breakdown. Change the result format between hours and minutes and decimal hours.

How working hours are calculated

Worked Time = Clock-Out Time − Clock-In Time − Unpaid Breaks. Each shift is calculated separately. Scheduled time includes the full clock-in to clock-out span; worked time subtracts the shift’s unpaid break once. Paid breaks remain part of paid time.

For example, 9:00 AM to 5:30 PM is 8 hours 30 minutes scheduled. Subtract a 30-minute unpaid break to get 8 hours worked.

Hours and minutes versus decimal hours

Decimal hours are not written like hours and minutes. Convert minutes by dividing by 60. For example, 30 minutes ÷ 60 = 0.50 hours, so 8 hours 30 minutes equals 8.50 decimal hours. It does not equal 8.30 hours; 0.30 of an hour is 18 minutes.

How overnight shifts work

If clock-out is earlier than clock-in, the calculator treats clock-out as the following day. A shift from 10:00 PM to 6:00 AM spans eight scheduled hours. Any unpaid break is then subtracted from those hours.

Each shift is limited to 24 hours. Overnight shifts are checked for overlaps with other shifts, including a shift entered on the following day.

How overtime is calculated

Overtime thresholds and pay multipliers depend on the rules that apply to a worker. Weekly overtime is based on a user-configured weekly threshold. Daily overtime is optional and disabled by default. Optional double time is configured under advanced settings.

When more than one rule is enabled, the calculator classifies daily double time and daily overtime first. It then applies the weekly threshold only to remaining regular minutes. Each minute is assigned to one category so daily and weekly overtime do not double-count it.

Overtime rules vary by country, state, industry, contract, and employee classification. Configure the calculator according to the rules that apply to you.

Time rounding

Some employers round time entries to set increments. This calculator can round clock-in and clock-out times independently, or round the final shift duration after elapsed time is calculated. It never combines these methods. The entered times remain visible so you can compare them with the rounded times used.

Workplace rounding policies and legal requirements differ. Choose no rounding unless you know which policy applies.

Estimated gross pay

When an hourly rate is entered, regular, overtime, and optional double-time pay are estimated using the selected multipliers. Currency selection changes the displayed currency format only; no exchange rate is applied.

Estimated gross pay is before taxes, benefits, deductions, bonuses, commissions, and other payroll adjustments. The result is an estimate and is not an official payroll record.

Frequently asked questions

What is a Time Card Calculator?

A Time Card Calculator totals working hours from clock-in, clock-out, and unpaid-break information. It can also classify overtime and estimate gross pay when you enter an hourly rate.

How do I calculate hours between two times?

Subtract the clock-in time from the clock-out time, then subtract any unpaid break. If clock-out is earlier than clock-in, the calculator treats clock-out as the following day.

How do I subtract an unpaid lunch break?

Enter the unpaid break duration in minutes for that shift. The calculator subtracts it once from scheduled shift time. Paid breaks should not be entered as unpaid time.

How are overnight shifts calculated?

When clock-out is earlier than clock-in, the shift ends the next day. For example, 10:00 PM to 6:00 AM is eight scheduled hours before any unpaid break.

What are decimal hours?

Decimal hours express minutes as a fraction of an hour. Divide the minutes by 60: 30 minutes is 0.50 hours and 45 minutes is 0.75 hours.

Is 8 hours 30 minutes equal to 8.30 hours?

No. 8 hours 30 minutes is 8.50 decimal hours because 30 divided by 60 is 0.50. The value 8.30 decimal hours equals 8 hours and 18 minutes.

How is weekly overtime calculated?

When weekly overtime is enabled, time above the threshold you enter is classified as overtime after daily overtime categories are assigned. Rules differ by location and employment situation.

Can daily and weekly overtime apply together?

Both settings can be enabled. The calculator classifies daily overtime and double time first, then applies the weekly threshold only to remaining regular minutes, so no minute is counted twice.

Does the calculator support multiple shifts?

Yes. Add separate shift rows to any day. Each shift has its own clock-in, clock-out, and unpaid-break duration.

What happens when two shifts overlap?

Both overlapping shift rows show an error and are excluded from totals until the schedule is corrected. Overnight shift spans are checked against adjacent days too.

Can time entries be rounded?

Yes. Optional rounding can round individual clock times or each final shift duration to the selected interval. Employer policies and legal requirements vary.

Does the calculator calculate taxes?

No. It estimates gross pay before taxes, benefits, deductions, bonuses, commissions, or other payroll adjustments.

Can I use the result as an official payroll record?

This calculator is an estimate for planning and checking time totals. Confirm official records and pay with your employer or payroll provider.

Why might my employer’s calculation differ?

Your employer may use different workweek boundaries, rounding rules, overtime requirements, break policies, pay rates, or payroll adjustments.
